During Waitlist Registration:

- Academic level (Undergraduate/Postgraduate/Staff) (optional)
During Full Account Registration:
In addition to the waitlist information, we may collect:
- Pronouns (optional)
- WhatsApp number (optional)
- LinkedIn profile URL (optional)
- ORCID identifier (optional)
- Degrees and qualifications (optional)
- Country of origin (optional)
- Current university or institution (optional)
- Research interests (optional)
- ARS goals and objectives (optional)
- Biography or profile description (optional)
- Profile avatar or photograph (optional)
Google Sign-In: If you choose to sign in with Google, we may receive your Google account information (name, email address, profile picture) from Google to create your account. This information is subject to Google's Privacy Policy.
2.2 Information Automatically Collected
When you use our platform, we automatically collect certain information, including:
- IP address and location data
- Browser type and version
- Device information (type, operating system)
- Usage data and analytics (pages visited, time spent, features used)

Note: When you sign in with Google, Google may also collect and process information as described in their Privacy Policy. When you use Google Fonts, Google may collect your IP address.

- Waitlist Management: To manage waitlist registrations and send launch notifications
- Account Creation: To create and manage your user account and provide platform access
- Chapter Membership: To facilitate chapter applications, memberships, and administration

- Resource Access: To provide access to downloadable resources and track usage
- Communication: To send you updates about ARS programs, events, opportunities, and platform features

We use your personal information only for the purposes specified in Section 3 above. Specifically:

- We do not sell, rent, or trade your personal information to third parties for commercial purposes
- We use your information internally to operate and improve our platform
- We communicate with you about your account, events, and ARS-related matters
- We administer events, programs, and chapter activities

5.1 Service Providers
We share information with trusted third-party service providers who assist us in operating our platform, including:
- Supabase: For data hosting, database management, and authentication services
- Vercel: For hosting and content delivery network (CDN) services
- Email Service Providers: For sending transactional and marketing emails
- Analytics Providers: For website analytics and usage tracking (with your consent)
All service providers are contractually bound to protect your information and use it only for specified purposes.

- Secure Authentication: We use Supabase Auth for secure user authentication and password management

While we strive to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to maintaining the highest standards of data protection.
7. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.
- Active Accounts: We retain your information while your account is active and you are using our services
- Inactive Accounts: If your account is inactive for 3 years, we will anonymize or delete your personal information, subject to legal requirements
- Legal Requirements: We may retain certain information longer if required by law, regulation, or to resolve disputes
- Deletion Requests: We will process requests for deletion within 30 days, subject to legal obligations
- Backup Data: Information in backups may be retained according to our backup retention policy, but will not be actively used

Our service providers, including Supabase and Vercel, may store and process your personal information on servers located outside of South Africa. When we transfer your information across borders, we ensure that:
- Appropriate safeguards are in place, including contractual clauses and data processing agreements
- Service providers are bound by data protection obligations equivalent to those under the POPI Act
- We obtain your consent to such transfers where required
- We comply with notification requirements to the Information Regulator where applicable
By using our platform, you consent to the transfer of your information to countries outside South Africa for the purposes described in this Privacy Policy.

We use the following Google services:
- Google OAuth (Sign-In with Google): We offer Google Sign-In as an authentication option. When you choose to sign in with Google, Google may collect and process certain information including your email address, name, and profile picture. This information is shared with us to create and manage your account. Google's use of information is governed by Google's Privacy Policy and Terms of Service.
- Google Fonts: We use Google Fonts to display web fonts. Google may collect your IP address when fonts are loaded. See Section 10.2 for more details.
- Google Analytics (if enabled): If we enable Google Analytics, it may collect usage data to help us understand how visitors use our platform. You can opt out using the Google Analytics Opt-out Browser Add-on.
